Managing Solar Plants, Regions and Users in Admin Centre


Overview

This article explains how to add, edit and share solar plants, regions and users within the SolarGain portal. Only users with admin rights can access this functionality.

Manage Solar Plants

Accessing Manage Solar Plants

This page can be accessed by:
  1. The top cards on the Admin Centre page
  2. The lower left menu under Admin Centre

Manage Solar Plants View

The list displays all solar plants in your portfolio (or only those you have permission to manage if you are a limited admin).

Columns include:
  1. Solar plant name
  2. Country
  3. Region
  4. Capacity (MW)
  5. Organisations
Additional features:
  1. Search function for Solar Plant and Country
  2. Sort function for Solar Plant and Country
  3. Multi-select checkboxes
  4. Actions dropdown
    1. Add organisations to solar plant (i.e. Share)


Editing a solar plant

  1. Navigate to the Manage Solar Plants page
  2. Find the solar plant in the list and click that row to open the modal
    1. Mandatory fields:
      1. Solar plant name*
      2. Type*
      3. Capacity (MW)*
      4. Area (HEC)*
      5. Country*
      6. Region*
      7. Latitude*, Longitude*
    2. Optional fields:
      1. Module count, commissioning dates, angles, orientation, any field without the *
  3. The solar plant image can be changed by clicking on the X in the upper right corner of the image. If no image is added, it will revert to a default image.
  4. Make the necessary changes
  5. Select Save


All changes will be immediately reflected. Required fields must be completed for the changes to be saved.
Solar plants cannot be deleted in the Admin Centre.

Sharing a solar plant

In order to "share" a solar plant with another organisation, an existing organisation can be "added".
  1. Select one or more solar plants by clicking the check boxes in the first column
  2. Click the Actions dropdown and select Add organisation
  3. Search for organisations by typing 3 letters of that organisation name
  4. Select Organisation from dropdown and select Type from the dropdown
  5. Select Confirm to share access
  6. A confirmation message will appear on completion.

Manage Regions

Accessing Manage Regions

This page can be accessed by:
  1. The top cards on the Admin Centre page
  2. The lower left menu under Admin Centre

Add a new region

  1. Select Add new region button in the upper right corner
    1. A new modal pops up allowing the country to be selected
    2. The country drives the list of solar plants
  2. Type in a region name of your choice
  3. Select the solar plants, which are restricted to the country you selected
    1. Once you select the solar plant, it will appear below the Selected Solar Plants in a pill shape
  4. To remove a solar plant, click the X on the right side of the solar plant name
  5. Click Confirm to save changes

Edit a Region

  1. Click a row to open the modal
    1. If solar plants have already been added, the country field will not be editable.
    2. If there are no solar plants selected yet, the country can be changed, which will affect the solar plants that are visible in the solar plant dropdown
  2. Click Confirm to save changes
  3. Clicking cancel, will revert back to the original settings

Delete a Region



At any stage, regions can be deleted
  1. To delete, open the region and click the red "Delete region" button
  2. To confirm deletion, you will be required to type in the words "delete" in a field
    1. Deleting a region will not delete any other data, such as solar plants or users
    2. If there are users tied to the deleted region, it will restrict the solar plant group they can see if that specific region is deleted
    3. If this is a concern, a new region can be created with similar solar plants, added before the old region is deleted.
  3. After closing the modal, you return to the Manage Regions page.

Important Rules & Notes

  1. A single organisation can have many regions
  2. Solar plants can be added to more than one region, if in the same country
  3. Admins can only create a country-based region, rather than a group of countries e.g. Southern Europe
  4. If regions are changed, they immediately affect user-access groupings

Manage Users

Accessing the Manage Users Page

This page can be accessed by:
  1. The top cards on the Admin Centre page
  2. The lower left menu under Admin Centre
Only Client Admins can add or edit user accounts.

List View Features

The list shows all users in your organisation with:
  1. Email
  2. Name
  3. Admin status
  4. Active/Inactive
  5. Countries
  6. Regions
  7. Solar Plants

Additional features include:

  1. Multi-select
  2. Actions dropdown
  3. Add new user button in upper right corner

Adding a New User

  1. Click Add new user button
  2. The Add New User modal opens
  3. Complete the following fields:
    1. First name
    2. Last name
    3. Email (cannot be edited after creation)
    4. Admin checkbox
  4. Click Confirm to save

Setting Solar Plant Access for a New User

Solar plant access can be restricted to all users, whether standard or admin.

Option 1: All Solar Plants (Default)

  1. User inherits all solar plants the Client Admin can see
  2. No need to choose individual locations
  3. All fields in the Access area will be blank

Option 2: Limited Access

In the Access area, there are 3 different fields:
  1. "Search for countries you wish to share with this user."
    1. Selected country will appear as a pill and can be removed by clicking the X on the right side
    2. Below will display "country selected solar plants" as read only to confirm all countries
  2. "Search for regions you wish to share with this user."
    1. Selected region will appear as a pill and can be removed by clicking the X on the right side
    2. Below will display "region selected solar plants" as read only to confirm all regions
  3. "Search for additional solar plants you wish to share with this user."
    1. Selected solar plants will appear as a pill and can be removed by clicking the X on the right side

On successful creation:
  1. The user is added to the list
  2. A success message appears
  3. The user receives a welcome email with temporary password (valid 7 days)

Editing Users

Single User Edit

  1. Click on row to open modal
  2. You can edit:
    1. First name
    2. Last name
    3. Admin status
    4. Active/Inactive
    5. Solar plant access (Country, Region, Solar Plant)
  3. Email cannot be changed

Bulk Edit Users (2 or more users selected)

The following can be edited in bulk:
  1. Edit role
    1. Options are Admin or non-admin
  2. Edit access
    1. Solar plant access can be refined from "All" to more specific solar plant views in the Portfolio Dashboard and Solar Plant list
      1. Countries you wish to share with this user
      2. Regions you wish to share with this user
      3. Specific solar plants you wish to share with this user


Steps to bulk edit users:
  1. Multi-select two or more users
  2. Click Actions dropdown → Edit role (Admin or non-Admin) OR Edit access (to change country, region, solar plant access)
    1. Important:
      1. If you are trying to delete a region in Manage Regions, and users are still tied to that region, this is the best place to remove that region first if there are multiple users in that region
      2. If you still want to restrict a users view, please ensure that a new region is created or they are assigned to a country or specific solar farms, otherwise, user will have full access to the entire portfolio
  3. Save changes
    1. A success message confirms completion
